Privacy Policy
This Policy describes what data the AIT Translator service (the “Service”) processes, why it is processed, and how it is protected.
The data operator is the Service Provider operating AIT Translator. The Service Provider’s identifying information appears in the “Service Provider Details” section of the public offer. Contact email: support@office-translate.com.
1. Data We Collect

2. How Data Is Used
- Document files and glossaries are used to calculate the price, perform the translation, and provide the result. The User independently assesses the confidentiality of the information and whether it may be transmitted for processing through the paid Gemini API, and confirms that all necessary rights, permissions, and lawful grounds exist. The Service Provider does not analyze or classify documents before the User uploads them.
- Email addresses and support messages are used to respond to support requests and are delivered to the Service owner through the Telegram Bot API. They are not used for marketing messages without separate consent.
- IP addresses and technical data are used for abuse prevention, security, diagnostics, and analytics.
- Payment data is processed by Robokassa. We receive only payment confirmation, the amount, and technical payment parameters.
- Character package data is used to issue the code, record and check the remaining character balance and validity period, and recover purchase information.
3. Data Sharing with Third Parties
The following providers may be used to operate the Service:
- Google Gemini API — for machine translation. Paid translations use the paid API. Under Google’s terms, request and response content is not used to improve Google products, although it may be processed and logged for a limited period for safety and legal compliance. Data is transmitted over HTTPS. Google policy: policies.google.com/privacy.
- Robokassa — for payment processing and generating receipts for the professional income taxpayer. Policy: robokassa.com/privacy-policy/.
- Telegram Bot API — to deliver support requests and limited technical notifications to the Service owner. Notifications may contain an email address, support message, file name, task parameters, IP address, optional purchaser name, purchased package details, and the issued code, but not the translated document’s content.
- Yandex Metrica — to collect visit and interface interaction statistics.
- Stripe — as a backup payment provider when the corresponding payment method is available in the interface.
We do not sell, rent, or exchange your personal data with any other third parties.
4. Data Storage and Deletion
The Service Provider shall delete the data listed below from its own server. This commitment applies to infrastructure controlled by the Service Provider. Limited technical storage by Google, Telegram, Yandex, and payment providers is governed by their respective terms and retention periods.
- The source file is deleted immediately after successful translation. The result, glossary, technical logs, and task metadata are deleted automatically 60 minutes after processing finishes or stops.
- Files from tasks that were not started, ended with an error, or became stalled are deleted automatically 60 minutes after the task enters the corresponding state.
- The User may delete all task data earlier by clicking “Delete files from server” in the Service interface.
- Technical data used to limit test access is stored for up to 24 hours; support request rate-limit data is stored for up to one hour. Retention periods for Yandex Metrica, payment providers, Google, and Telegram are also determined by the rules of those services.
- Email addresses from support requests are retained until the request is resolved.
- Purchased package and issued-code data is retained for the package validity period and afterward to the extent necessary for payment records, support requests, and applicable legal obligations. Removal of the optional name may be requested through support.
5. Security
Connections to the Service are protected by HTTPS/TLS. Files are stored on the server without long-term backups in third-party clouds. Files can be accessed only through a unique task identifier.
The Service Provider takes reasonable organizational and technical measures to protect files during processing and is responsible for following the stated deletion procedure on its infrastructure. The User is responsible for deciding to submit a particular document, having the necessary authority, and complying with confidentiality requirements applicable to that document.
No system is completely secure. Do not upload documents containing state secrets, patient medical data, or other highly sensitive information.
6. User Rights
Under Federal Law No. 152-FZ “On Personal Data,” you have the right to:
- Request information about which of your data is being processed.
- Request correction of inaccurate data.
- Request deletion of your data.
- Withdraw consent to processing, insofar as it concerns email addresses from support requests.

7. Cookies and Analytics
The Service uses localStorage to retain interface language settings. Yandex Metrica may use cookies and other technical identifiers.
The Service uses Yandex Metrica, including Session Replay (Webvisor), to analyze traffic and improve the Service. Webvisor records anonymized page sessions such as mouse movement, clicks, and scrolling. It does not record uploaded file contents or payment form data. Yandex processes the collected data in accordance with its privacy policy.
Users may restrict analytics through browser settings and tracking blockers. If the interface displays an analytics consent request, Metrica is enabled according to the selected setting.
Marketing cookies from third-party advertising networks are not used.
8. Policy Changes
We may update this Policy. The current version is always available on this page, and the date of the latest revision appears at the beginning of the document.
