Public Offer for Automated Document Translation Services
1. General Provisions
This document is a public offer by the Service Provider and is addressed to any individual or legal entity (the “User”) wishing to use the AIT Translator automated document translation service (the “Service”) available at office-translate.com.
The Service Provider applies the special “Tax on Professional Income” tax regime (is self-employed) and is not registered as an individual entrepreneur.
This offer constitutes an official public proposal by the Service Provider to enter into a paid services agreement under Article 437 of the Civil Code of the Russian Federation. The agreement is deemed concluded when the User accepts the offer.
Acceptance occurs when the User takes conclusive actions demonstrating an intention to use the Service, including placing a translation request, submitting an order, uploading a file for processing, paying for the service, or taking other similar actions. For a paid service, payment also constitutes acceptance. Uploading a file solely for a preliminary price estimate does not itself create an obligation to pay.
2. Subject of the Agreement
The Service Provider provides automated translation of .docx, .xlsx, .pptx, and .pdf documents using artificial intelligence (AI). The result is a translated document in the same or a compatible format (in the case of PDF).
The User may also purchase a character package in advance. After payment is confirmed, the Service issues a subscriber code with the balance shown in the interface. The code may be used for multiple translations until its balance is exhausted or it expires.
The name, scope, price, and other parameters of a specific service are determined from the information supplied by the User when placing the order and the estimate displayed on the website before payment.
The Service Provider may engage third parties and technology providers to perform the service while remaining responsible to the User for the result within the limits of this offer and applicable Russian law.
3. Price and Payment
The service price is calculated automatically according to the number of translatable characters excluding spaces and the current tariff displayed on the website. For scanned PDF documents without a text layer, the price is calculated by page count.
Payments are made cashlessly through the payment services available in the interface before file processing begins or a package code is issued. The currency and total amount are displayed before the User proceeds to payment. A receipt is issued where required by law and supported by the selected payment method.
A package is valid for 12 months from payment confirmation. Each translation deducts the actual number of translatable non-space characters counted by the Service. Any unused balance does not carry over beyond the package validity period.
The Service Provider may change tariffs at any time; changes do not apply to orders that have already been paid.
4. Rights and Obligations
The Service Provider shall:
- Process the uploaded document within a reasonable period, generally 1–30 minutes depending on volume.
- Make the translated result available for download.
- Take reasonable organizational and technical measures to protect files while they are processed on the Service Provider’s infrastructure.
- Delete task data from the Service Provider’s server: the source file is deleted immediately after successful translation, while the output, glossary, technical logs, and metadata are deleted automatically 60 minutes after processing finishes or stops. Data from unstarted and stalled tasks is also deleted automatically after 60 minutes. The User may delete task data manually before that time.
- Transmit file content only to services directly involved in providing the service, in accordance with the Privacy Policy. Paid translations use the paid Gemini API; under Google’s terms, the content of requests and responses is not used to improve Google products.
The User shall:
- Upload only files for which the User has lawful rights and independently assess the confidentiality of their contents and whether they may be submitted for automated processing through the paid Gemini API.
- Be responsible for having the rights, permissions, and lawful grounds required to transmit file content. The User must not upload illegal material, state secrets, third-party personal data without a lawful basis, or information whose transmission to an external cloud service is prohibited by law, contract, or an applicable confidentiality regime.
- Not use the Service for mass production of translations for resale without a separate agreement with the Service Provider.
- Provide accurate contact details needed for payment, delivery of the result, issuance of a receipt, and order-related communication.
5. Limitation of Liability
The Service provides machine translation. Translation quality depends on the source document, language pair, and AI model. The Service Provider does not guarantee legal, medical, or technical accuracy. Any result used for legal, medical, financial, or technically significant decisions must be reviewed by a qualified professional.
The Service Provider is not liable for temporary unavailability caused by scheduled maintenance, API provider failures, or force majeure. If the service cannot be provided for reasons attributable to the Service Provider, the payment will be refunded in full.
These limitations apply only to the extent permitted by Russian law and do not restrict mandatory consumer rights.
6. Confidentiality and Security
The parties shall maintain the confidentiality of information received during performance of the agreement and take reasonable measures to prevent unauthorized disclosure.
Documents submitted by the User may contain commercial, official, personal, or other confidential information. The User independently assesses whether that information may be transmitted to the Service and whether lawful grounds for its processing exist.
Users’ personal data is processed in accordance with the Privacy Policy.
7. Refunds
In particular, the User may request a refund in the following cases:
- The file was not translated due to a technical error attributable to the Service Provider.
- The uploaded file was unreadable or corrupted, provided that the User reports this within 24 hours after payment.
A consumer User may also assert other remedies provided by Russian law for service defects and may withdraw before completion of the service subject to payment of the Service Provider’s actual expenses.
Refunds for character packages, including partially used packages, are considered under applicable Russian law, taking into account services already provided and the Service Provider’s actual expenses.
A refund request is considered within 10 days of receipt. Refunds are made to the payment details used for the transaction. Requests must be sent to support@office-translate.com.
8. Force Majeure
The parties are released from liability for full or partial non-performance caused by circumstances beyond their reasonable control that could not reasonably have been foreseen or prevented, including government action, communication or payment infrastructure failures, emergencies, natural disasters, and similar events.
If force majeure prevents performance of a paid service, the Service Provider and User will agree on a new completion date or a refund in accordance with this offer and Russian law.
9. Term and Other Provisions
The offer takes effect when published on the Service Provider’s website and remains effective until withdrawn or replaced. An agreement concluded under the offer remains effective until both parties have fully performed their obligations.
This agreement is governed by the laws of the Russian Federation. Disputes are to be resolved through negotiation and, if no agreement is reached, in accordance with the jurisdiction and venue rules established by Russian law. A consumer User’s mandatory right to choose a court is not restricted.
The Service Provider may amend the offer. A new version applies to orders placed after publication and does not alter the terms of previously paid orders.
The language of the agreement and communication between the parties is Russian. A party’s failure to act in response to a breach does not waive its right to protect its interests later.
